Motorola Radio Services & Spillman Flex CAD Integration - New Radio Status Window

Integrating Spillman Flex CAD with Motorola Radio Services enables first responders to remotely update their status from a data-enabled Motorola Solutions two-way radio. They can make on-the-spot decisions, freeing air time for critical voice communications automatically providing PSAP personnel with radio affiliation information: radio talk group, status, latest transmission, and valid radio alias.

Radio / Vehicle / Officer Association - Provide More Information

This new feature enables users to assign radios to fleet vehicles, then link those radios, fleet vehicles, and units all together in the CAD environment - providing more information to dispatch personnel.

Check out this 2 minute video to see how it works.

CAD Incident Phone Call Association with CallWorks CallStation

This new enhancement streamlines the workflow between telephony and CAD, reduces keystrokes, and eliminates data entry errors - enabling dispatch to happen more quickly and more efficiently.

Check out this 3 minute video to see how it works.

Transfer CAD Incident and 1221 NFPA Call Taking & Dispatch Report

Users now have the ability to transfer calls between positions within a dispatch center and the ability to transfer all the CAD data that is entered into the Spillman Flex CAD screens prior to the transfer - reducing keystrokes and eliminating data entry errors.

With this integration, the Spillman Flex CAD system now automatically opens the CAD Incident screen upon acceptance of an active 911 phone call on the position after a phone call transfer, joining the conference call, or picking up a phone call from the hold. Then the CAD system can gather the time that a phone call actually rings into the PSAP, and present that information in the form of a new NFPA Call Taking & Dispatch Report.

Check out this 3.5 minute video to see how these new features work.

Display Wreckers in Flex CAD

Previously, users could not see if/which wreckers or tow trucks had been assigned to a call without opening wrecker screens. Now, individual Flex CAD users can make wreckers visible in the CAD screen by enabling the newly added Wreckers column in their personal CAD settings.

Whenever a wrecker is dispatched, the tow company will appear in the wreckers column for that CAD incident. If more than one wrecker was dispatched, the CAD will display the first wrecker and a plus sign next to the first tow company name. When wrecker is cleared or cancelled, it will stop appearing in the CAD incidents list.

To see the Wreckers column:

  1. In the Undispatched or Dispatched Calls window, right-click any column name, and select “Column Chooser”

  2. In the window, select “Wreckers, and then click “OK”.

Addition of Vehicle Fields for CAD Incidents

Previously, dispatchers did not have the option of adding vehicle-related data to a CAD event. This new feature enables dispatchers with expanded capabilities for data collection and search.

As part of a traffic stop or creating a CAD incident, you can now enter the color and make of a vehicle. You can search using these fields, including from the Calls screen. This feature is on by default in the legacy CA screen and the new AC screen. Agencies need to activate these fields, using settings, in the Traffic Stop screen.

Rapid Notification

In the RN 2.0 web app, administrators are now able to utilize a new UI with data labels for a more customizable message experience.

Active Directory Lite

Partially integrate Spillman Flex with Active Directory and use Active Directory passwords through Flex without the complication of all of the ldaps filters and group mapping that comes with full Active Directory integration.

Minimize New CAD Screens

The CAD Incident screen (and other screens associated with it) was enhanced so that when you minimize it, an icon appears under the command line, rather than in the system tray. These icons can be helpful for keeping track of the screens that you have minimized.

Addition of HERE Layer for Mobile Map

The Mobile map was enhanced to allow your agency to add a HERE layer, which shows the traffic conditions and provides routing information from the HERE database, a third-party database that contains information about traffic conditions.

In the “Settings” pane, click “Traffic Data” to turn the HERE traffic layer on or off

In the “Traffic Scheme” field, select the scheme you’d like to use.

Spillman Flex CAD Integration with CallWorks CallStation

Motorola Solutions NG9-1-1 CallStation and Flex CAD offer a more efficient call management approach by integrating call handling into CAD and easing the call taker’s already stressful job. The result is a more efficient workflow that saves time. The call taker minimizes keystrokes, reduces errors and speeds response. Now, answering a call, creating an incident, dispatching and releasing a call can be accomplished in as few as four keystrokes -- all from one screen.

Manage 9-1-1 calls while remaining in the CAD screen for greater workflow efficiency. Use one map - the Flex CAD map - to view the location of the call along with resources available.

Active Directory Lite

While FLEX full active directory integration can assist in user management, some agencies feel that it is complicated to set up and would rather manage groups directly through the Flex software. Enhancements to the AD2 tool allows for a simplified integration between Flex and Active Directory. Active Directory Lite allows agencies to partially integrate Spillman Flex with Active Directory and use Active Directory passwords through Flex without the complication of all of the ldaps filters and group mapping that comes with full Active Directory integration.

Performance Monitor - New User Interface

Currently, agencies do not have insight into when their systems are running into trouble and are nearing failure unless someone is always monitoring. Customizable performance monitoring and email alerts in the new user interface enables agencies to act quickly when their Flex systems are nearing failure. Access a new customizable performance monitoring user interface with threshold email alerting capability.

Flex Server Diagnostics Tool

After a system crash, there is often a technical process to understand why it occurred. This may include logging into the server through Putty and terminals, manually reviewing and removing files or knowing the commands and order to restart cTree. During what can be a stressful time, Flex Server Diagnostic Tool enables agencies to quickly detect and fix issues on their Flex server. The Flex Server Diagnostic Tool enables agencies to quickly access a page that runs separately from other systems to help clear up issues including a full hard disk or TomCat and cTree crashes. It simplifies what was once a complicated, technical process into clickable buttons for faster, easier problem resolution.

New in Spillman Flex CAD & Mobile - Q4 2019

We're excited to review the work that was done this past quarter to improve your Spillman Flex CAD system and the tools you use to manage your system. To upgrade your system, schedule an appointment at flex-update.appointlet.com. Customer requests for upgrades will take place as they are currently scheduled.

Enhanced Flexibility During Call Taking

We’ve enhanced the CAD Incident screen to show special instructions connected with natures to provide you greater flexibility during call taking. When you enter or modify a nature with special instructions, the Special Instructions tab opens on the right side of the screen.

To exit the Special Instructions tab, press Esc or click Back.

You can open the Special Instructions tab again by clicking on the tab, or click the Special Instructions link.

If your admin has set up questions to ask the caller as part of the special instructions, you can enter the answers directly into the tab. When you enter an answer, a new comment is added to the call, listing the question and the answer from the Special Instructions tab.

If you reopen the CAD Incident screen for the call, the answers you entered are still in the comments, but the Special Instructions tab doesn't keep the text that was entered in it.

For any part of the special instructions that your agency wants to set up as a question, you must tag it as such.

In the Special Instructions (cdspeci) tab, and <Q> and </Q> tags around each question. For example. <Q Was anyone injured? </Q>. Any text that is enclosed in the tags appears as a question with a text box in the Special Instructions tab on the CAD Incident screen.

Provide Historical Information to Call Takers

The Prev History tab now lists any CAD incidents associated with the same phone number as the current call. This helps in situations when the Call Taker hears only garble on the line, or when a 911 call is dropped. They detect something suspicious, so they call back multiple times but receive no response. The Call Taker can look up the current phone number against the CAD Incidents to see if there is any previous history associated with that number.

This could give the Call Taker enough information to know if there is anything fishy based on the previous history of a phone number, as well as potentially provide critical information such as persons associated with those CAD incidents and addresses to dispatch units to a probable location.

Flex CAD screen automatically queries CAD Previous History for caller’s phone number. The Prev History tab on the CAD Incident screen and the Comments window now only shows a subset of previous history records for addresses with previous incidents. Your admin determines how many records are shown.

The setting PrevHistoryMaxResults, in the Module.CAD.Calltaking setting folder, determines the maximum number of CAD incidents shown in the Prev History tab for an address. The default value is 50. Set this setting to the value your agency desires.

Address Typeahead in Flex CAD - Streamline Address Entry

On the Manage a CAD Incident screen (CAD Incident screen), we’ve enhanced the CAD Incident Address field so that after you type at least three characters, the software provides address suggestions in a drop-down list, saving dispatchers valuable seconds.

If you select an address suggestion, the address is automatically validated, so the Address Selection window doesn’t open. The address suggestions also work with common place names or place aliases. For example, if the caller says that they are at Wendy’s, you can start typing Wen and get suggestions for the addresses of the Wendy’s in your area.

If you press Tab and move out of the address field without selecting a suggestion, then the Address Selection window still opens for you to validate the address.

This functionality does not currently support intersections.

The Address Typeahead feature validates the address by selecting the first candidate from the ESRI list regardless of whether the Exact Match logic is turned on as part of your GeoValidation setup.

For the Address Typeahead feature to work, the following must be set up:

  • Make sure you are using ESRI locators 10.6.1 or higher.

  • When you build locators in ESRI, make sure you select the option to enable suggestions.

  • Make sure your GeoValidation setup is configured with the appropriate geocoding and map service to work with ESRI suggestions.

New in Spillman Flex CAD & Mobile - Q3 2019

CAD Unit Recommendations - Save Dispatchers Valuable Seconds

Evolution of the of the call taking and dispatch screen continues with the ability to get unit recommendations and dispatch the from the Flex CAD screen. Dispatchers can now switch between levels and replace units recommended by the system with other suitable candidates.

Interaction with recommended units is done from the main screen instead of opening additional windows. This saves dispatchers valuable seconds by eliminating the need to go through lists of recommended units in the classic CAD screen.

Recommended units are now immediately denoted and show on the dispatch control screen. Requirements for the CAD incident recommendation plan being used are also shown to indicate what each unit is fulfilling and what part of a requirement each recommended unit is supposed to cover. It is also possible to replace a particular unit with another candidate that the software has deemed most appropriate based on the recommendation logic. You can dispatch units, replace units, send the recommended response, and continue seeing comments all on the same screen.

There is also the ability to upgrade level response from the same screen, so if you need to escalate the response or skip a level, you can do so without having to close the screen and run it again.

CAD RapidSOS Integration - Automatically Get the Best Location Possible

In most cases, location information from RapidSOS is more accurate than the basic phase 1 phase 2 wireless data from a caller’s phone. With this new integration, dispatchers can now see RapidSOS location data in CAD screens and Map. As a dispatcher enter information from a call the system automatically queries the caller’s phone number, and if RapidSOS information is available, it pulls that information in to be used. The dispatcher then chooses whether to use the original phase 1 phase 2 E911 data or the data from RapidSOS.

RapidSOS data is queried automatically in the background, reducing the need for manual query to keep dispatch personnel focused. RapidSOS also has the ability to silently geo-verify and validate location data. In normal circumstances after obtaining and typing in the address information, a window pops up asking asking for validation of the correct address.

If information is being fed from RapidSOS and you have certain settings in your CAD system turned on, once you select and choose to use that RapidSOS data for the call, it skips that process of geo-validation saving time and enabling you to move on with the rest of the information gathering.

The CAD incident screen on the left shows that RapidSOS has an address for the listed XY coordinates. All you need to do for the silent geo-verification is to click on the downward pointing arrow icon. Once you click on that icon, it automatically fills the incident address and skips the geo-validation portion enabling you to move on with the call taking process.

Rapid Notification - Enterprise-grade Software and Services from the Same Company

Rapid Notification 2.0 with VESTA Communicator integration is the newest way to provide dispatch notifications. This next generation CAD paging service provides enterprise-grade services including sending text messages, emails, and text to speech calls.

Features Include:

  • Dispatch Notifications
  • Admin Groups
  • Paging Plans
  • "Long" and "Short" Form Email Delivery

Flex Motorola Radio Integrations

The Flex CAD software now has integrated Radio Services support for agencies that have purchased the Radio Services Integration module. Radio Integration allows agencies to assign radios to an officer or vehicle, and allows units to update their status or radio alias using a radio. Officers and vehicles that have a radio assignment appear on the new Radio Status window.

ASAP2PSAP

SAP stands for Automated Secure Alarm Protocol. This enhancement automates the Call Taking process by automatically creating calls with data from the alarm company already filled in, streamlining your workflow.
